By booking your stay with Kiamichi Mountain Villa you agree to abide by the policies outlined here and in the rental agreement that will been sent to you. Please read all policies prior to your arrival.
Renter Age Requirements
Booking guest / cardholder MUST BE 24 years old to rent the cabin and must be present during your stay.
Kiamichi Mountain Villa is committed to protecting our guests privacy. Registered guests who may have other guests staying or visiting them are responsible for providing directions and pass codes. Kiamichi Mountain Villa will not provide this information to anyone other than the person(s) listed on the reservation. We will also not confirm the names of a registered guest to anyone other than the person who is listed on the reservation.
We may collect personal information when you make a reservation. However, we will not sell your personally identifiable information to anyone.
A two (2) paid night minimum stay is required on all reservations. Same day reservations made after 4pm may be considered for a one (1) night stay, as well as a single night between existing reservations.
- No discounts will apply to one night stays.
- One night stays will also be charged normal cleaning fee of $100.
- One night stays will need to be made by calling us at (805) 678-0KMV (0568).
Check in is a self check-in procedure, there is no office. Your reservation / rental agreement will contain gate and cabin door access codes. Please print and bring with you on your stay. Relying on retrieval via email while in the area is not guaranteed.
Check-in is 4:00 PM or later, No Sunday check-ins. Check-out is 11:00 AM
(Unapproved check-outs after 11:00 AM may be subject to additional charges.) Early check-in or late check-out times may be available if the cabin is not booked the day before or the day after, as long as adequate cleaning time is allowed. Call us at (805) 678-0KMV (0568) to request. There are no refunds for early check-out or late check-in.
Entry to the cabin is not permitted until cleaning staff has finished and left the property. In order to provide clean and comfortable accommodations these times must remain firm so that the cabin may be properly cleaned. When checking out please do not leave dirty dishes and remove all personal items from refrigerator. Please replace furniture back to original location and place all trash in the outdoor trash bin.
The rate is based on number of guests the cabin will accommodate comfortably. Please do not count children 13 and under when entering number of guest in the reservation. Overcrowding of cabins can result in additional charges per person per night and or cancellation of reservation.
Forms of Payment
We accept all major credit cards including: Discover, Visa and MasterCard. You may pay by PayPal (no e-checks) or by check. Booking will be confirmed when we receive the deposit in the mail. We will email or call you to let you know your reservation has been confirmed. If a personal check is returned to us for non-sufficient funds, you will be charged the amount levied by the bank for NSF charges.
A reservation deposit equal to one (1) nights stay is required. This must be received before booking the reservation.
Property Damage Protection (PDP)
Property Damage Protection (PDP) of $49 is required. PDP provides you with up to $1,500.00 of coverage for unintentional damage to the rental property during the term of your stay, provided that damages are disclosed to the homeowner or management prior to checkout. . Learn more. If you opt out of the coverage your reservation may be rejected or you may be required to pay a $300 damage deposit. Any additional damages may be charged to your credit card.
Please ensure the following:
A. No damage is done to the cabin or its contents.
B. No charges are incurred due to contraband, pets or collection of rents or services rendered during the stay.
C. All debris, rubbish and discards are placed in refuse container outside, and soiled dishes are placed in the dishwasher and cleaned.
D. No linens are lost or damaged.
With 30 day notice we may be able transfer your reservation to another date within a three month period from the original reservation date. Reservations can only be transferred one (1) time from the original booking date. Bookings cancelled at least 30 days before the start of the stay will receive a 100% refund. Bookings cancelled at least 14 days before the start of the stay will receive a 50% refund. Cancellations MUST BE CONFIRMED by phone or e-mail. Cancellations made within 48 hours before check-in are considered no shows and charged full amount of your booked time. We are not able to give refunds due to inclement weather and/or early departure.
Note: All refunded amounts will be deducted 6% for return credit card processing fees and an additional 10% for state and tourism taxes paid to the state of Arkansas on your behalf when booked.
The maximum number of guests in the cabin is limited to eight (8) adults + children. Children are defined as 13 years or younger. Occupancy above eight (8) adults will cause extra wear on the cabin and will result in a $100 per person, per night penalty.
We supply all our guest with a starter supply of coffee products, paper goods, hand and dish soap. Any additional supplies will be provided by the guest. CJs Corner store is located approximately 9 miles South on Hwy. 259.
Maid Service / Cleaning
There is NO daily maid service available. A sufficient number of towels are supplied in each bathroom. Please don’t remove towels, linens or any other items from the cabin.
Prior to checkout, please load the dishwasher and run the cycle. Please leave no dirty dishes. Please place all trash bags in the bin on side of cabin labeled “TRASH”.
Firewood & Campfires
The cabin is stocked with a supply of firewood for the firepits. Please note that it is against the law to leave campfires unattended. During fire bans imposed by the State of Oklahoma we will notify our guests before arrival.
We are a NON SMOKING facility. Please DO NOT smoke in cabin or hot tub. Please smoke OUTDOORS ONLY and deposit all cigarette butts in a trash receptacle. Please do not leave butts on the grounds. $100 will be charged if the cleaning service reports that someone has been smoking in the cabin or hot tub.
Please place all trash bags in the bin on side of cabin labeled “TRASH”. DO NOT leave trash or food outside or in an automobile, please place in trash bin. Black bears do live in the area and can smell it from far off.
Internet access is provided at no charge. KMV is not responsible for outages or compatibility with guest computers. Guests may not use the cabin internet service in a manner that violates any local, state, federal or international law or regulation, including but not limited to fraudulent and obscene activity.
Security cameras, motion sensors, door/window sensors and alarm are used for property security only and will not be on during guest visits. Please do not unplug, cover or tamper with any security equipment.
A $100 fee will be imposed for tampering with any electronic equipment that causes a service call. Please DO NOT move or disconnect ANY cables from electronic equipment for video games or other devices. Electronics will be checked before arrival to ensure they are in working order.
Our hot tub is drained and cleaned prior to your arrival; therefore, it may not be warm until later that evening. Please do not adjust hot tub settings as they are set properly after cleaning. Remember when not using the hot tub, leave cover on so hot tub will stay warm. Hot tub MAX CAPACITY is eight (8) persons. No children under the age of 12 permitted in hot tubs at any time. When using the hot tub, remember there is a certain health risk associated with this facility. Use at your own risk. DO NOT SIT OR STAND ON THE HOT TUB COVER. Hot tub covers are for insulation purposes and are not designed to support a person or persons. They will break, and you will be charged for replacement. Replacement cost of hot tub cover is minimum $500.00.
- Please use brown hot tub towels in back closet ONLY.
- Please DO NOT set temperature above 104 degrees for an extended period. Newer hot tubs have a safety feature that will kick a breaker disabling the jets and heat temporarily. If this should happen please call us.
- Please turn off jets by pressing PUMP 1 when exiting the hot tub.
The fireplace is a non-vented natural gas log fired firebox. Please do not throw any paper or other combustible materials in the fireplace. Remote to operate the fireplace can be found mounted to the wall to the left of the fireplace.
We do not allow candles in our homes. This policy has been put in place per our insurance company’s specifications and exceptions will not be considered.
Missing Items/Damages or Items Left Behind
Missing items or damages may be charged to guest account. Personal items left behind can be mailed to a guest at guest’s expense to cover shipping and handling charges.
Parking is unlimited. Please do not bring more than 6 vehicles or there may not be enough parking spaces. Park vehicles in drive way only. Parking on the road is not permitted. Any illegally parked cars are subject to towing; applicable fines/towing fees and is the sole responsibility of the vehicle owner.
Tents and RVs
Guests may not utilize tents or RV’s without prior approval.
ATVs/UTVs/Off Road Vehicles
Riding of any ATV/UTV/Off Road Vehicle is prohibited on the cabin property.
Fireworks and Loud Noises
Shooting of fireworks are not permitted on properties. Loud noises such as shooting of guns and playing loud music outside are not permitted on the properties. Violation of these policies may subject property guest to immediate eviction from property without refund of reservation fees.
There is a significant chance guests will encounter different types of wildlife. No refunds or compensation will be given for any problems resulting from pests inside or outside the cabin. Do not feed animals you may see around the cabin nor permit them to enter the cabin. Do not allow children to play with, pet or feed stray animals. We are not responsible for any wildlife or animal encounters or medical bills resulting from injuries resulting from encounters with wildlife.
Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check in.
Any exceptions to the above mentioned policies must be approved in writing in advance.
It is expressly understood and agreed that the cabin owners accept no responsibility for losses, injury or accidents to guests or their property. It is further understood and agreed that the cabin owner shall not be responsible for any personal property left by guests in the premises. This includes the cardholder and all guests of the premises.
Due to the remoteness and altitude, the property is on a private well water system. If you do not feel comfortable consuming well water, we ask that you please bring bottled water. Sometimes but not often issues arise with the system that are out of our control, we do our best to resolve these issues quickly. However, no refunds or concessions will be given due loss of water on the property.
Violation of guest policies may result in early eviction with no refunds or additional fees listed below may be incurred.
- Having pets in the cabin – $50 per pet, per night.
- Having over maximum capacity of 8 adults – $100 per person, per night penalty.
- Smoking inside the cabin or hot tub – $100
- Cutting or damaging trees – cost of removing and replacing individual trees.
- Damaged and/or missing items from the cabin – Cost of individual items. Unreported damages found at checkout may be charged to the card on file.
- Replacement charge for hot tub covers – minimum $500
